Privacy Policy

Last updated: 7 October 2026

TimeSheetEasy is a time tracking and timesheet management service operated by Industrial Ltd, a company based in New Zealand ("TimeSheetEasy", "we", "us", or "our"). This policy explains what information we collect when you use TimeSheetEasy, how we use it, who we share it with, and the choices available to you.

1. Information We Collect

Account information

When you or your organization sign up, we collect the information needed to create and manage your account: your name, email address, and a securely hashed password. If your organization assigns you to a team, we store that assignment. We also store your display preferences (such as your chosen colour theme) against your account.

Work and business data you enter

TimeSheetEasy exists to record and report on work activity, so the core of what we store is the information you and your organization enter into the product. This includes:

  • Time entries, including hours worked, work dates, and any comments you add to them
  • Customers, projects, time codes, and work types your organization sets up
  • Work-from-home and leave records
  • Teams, meetings (including agendas and notes), and planning poker session results

This data belongs to your organization. Administrators within your organization's account can typically view data entered by other members of that organization as part of normal timesheet administration and reporting - that is the core function of the product.

Communications

When we send you an email - for example an invitation to join an account, a password reset, or a notification - we keep a record of that email (including its content) so we can diagnose delivery problems and confirm what was sent. We use Postmark as our email delivery provider; see "Third parties" below.

Payment information

If you subscribe to a paid plan, payment is handled by Stripe. We do not receive or store your full card details - Stripe provides us with a customer and subscription reference so we can keep your account's plan up to date.

Cookies and local storage

We use a single authentication cookie to keep you signed in; it is required for the service to function and contains no advertising or tracking identifiers. Your chosen colour theme is remembered in your browser's local storage. We do not use analytics or advertising tracking cookies.

2. How We Use Your Information

We use the information described above to:

  • Provide, operate, and maintain the TimeSheetEasy service for you and your organization
  • Authenticate you and keep your account secure
  • Generate the reports and summaries the product is designed to produce
  • Send you service-related communications, such as invitations, password resets, and account notices
  • Process payments and manage subscriptions for paid plans
  • Diagnose technical problems and improve the reliability of the service

3. Advertising on the Free Plan

Our Free plan may display advertising to help support the cost of offering it at no charge. If and when advertising is shown, it may be served by a third-party advertising network, which may use its own cookies or similar technologies subject to that provider's own privacy policy. Paid plans do not display advertising.

4. Who We Share Information With

We do not sell your personal information, and we do not share it for advertising purposes. We share information only with the following categories of third party, solely to operate the service:

  • Stripe - to process payments and manage subscriptions
  • Postmark - to deliver transactional emails on our behalf
  • Our database and hosting infrastructure providers, who store data on our behalf

We may also disclose information where required by law, or to protect the rights, property, or safety of TimeSheetEasy, our customers, or others.

5. Data Retention

We retain account and work data for as long as your organization's account remains active, so that the service can continue to provide historical reports. If an account is closed, we will delete or anonymize personal information within a reasonable period, except where we are required to keep it for legal, accounting, or legitimate business purposes (for example, billing records).

6. Data Security

We take reasonable technical and organizational measures to protect the information in our care, including encrypting passwords and restricting access to data between different organizations using the service. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

You can review and update much of your account information directly within TimeSheetEasy. To request access to, correction of, or deletion of your personal information, or if you have any other privacy question, please contact us using the details below. If you are a member of an organization using TimeSheetEasy, some requests (such as deleting work data) may need to be made through your organization's administrator, since that data belongs to your organization's account.

8. Children's Privacy

TimeSheetEasy is a business tool intended for use by working adults and is not directed at, or knowingly used to collect information from, children.

9. Changes to This Policy

We may update this policy from time to time as the service evolves. We will update the "last updated" date above when we do. Continued use of TimeSheetEasy after a change takes effect means you accept the updated policy.
